Executive Assistant
The West Island Women’s Centre is seeking a highly organized, proactive and adaptable individual to provide administrative, project, event and operational support to the Executive Director.
Job Overview
This is a varied role for someone who enjoys managing multiple priorities, keeping projects organized, following up on details and helping things run smoothly behind the scenes. The Executive Assistant will support reporting, events, meetings, correspondence, research and special projects.
Key responsibilities

- Provide day to day administrative and organizational support to the Executive Director.
- Assist with scheduling, priorities, deadlines, follow-ups and ongoing projects.
- Prepare, format and organize reports, correspondence, presentations, spreadsheets and meeting materials.
- Assist with board, funder, grant and program reporting by gathering information, statistics and supporting documentation.
- Support the planning and coordination of Centre events, fundraising initiatives, meetings and special projects.
- Draft emails, letters, invitations, thank you messages and other communications as required.
- Conduct research and gather information to support projects, funding opportunities and organizational needs.
- Help track action items and ensure important deadlines and outstanding tasks are followed up on.
- Assist with purchasing, filing, data entry and other administrative tasks.
- Provide additional operational and project support as needs arise.
Qualifications and skills

- Previous experience in an executive assistant, administrative, project coordination, office coordination or similar role.
- Excellent organizational and time-management skills, with the ability to manage multiple priorities.
- Strong written and verbal communication skills and attention to detail.
- Comfort preparing professional reports, documents, spreadsheets and correspondence.
- Strong computer skills, including Microsoft Office, and the ability to learn new systems quickly.
- Ability to work independently, take initiative and follow tasks through to completion.
- Experience in a nonprofit or community organization
- French-English communication skills are considered assets
Position details
- Hours: Part-time, 25 hours per week
- Salary: $25 per hour
- Location: West Island Women’s Centre in Pointe-Claire
- Working conditions: Hybrid, combining in-office and remote work
